RESPONSIBILITIES:


Essential Functions –


  • Perform general office duties and provide clerical support including, but not limited to answering phones/taking messages, word processing, directing customer inquiries, data entry, making signs/flyers, copying, scanning, maintaining electronic files, organizing, etc.
  • Assist with incoming and outgoing deliveries.
  • Assist facilities employees with procuring materials, equipment, etc.
  • Assist Director and Coordinators with the day-to-day operations.
  • Create work order requests.
  • Prepare and process purchase orders.
  • Maintain documentation, maintenance, and testing of the following items: security & fire alarms, sprinkler systems, emergency lights, fire extinguishers, GFCI, and Fire Marshal inspections.
  • Coordinate Surplus inventory.
  • Oversee usage of HutchCC Credit cards.
  • Provide high quality customer service and support for faculty, staff, students, venders, and other community members.
  • Arrive on time for work, attend work regularly, and successfully complete the responsibilities of the position.
  • Comply with HCC policies, procedures, and practices.
  • Serve actively on campus committees.

Secondary -


  • Perform other responsibilities as assigned by the Facility Coordinators and Director of Facilities.

QUALIFICATIONS (Essential):


  • High school diploma or equivalent required; Associate degree preferred.
  • Professional phone and receptionist skills required.
  • Demonstrated competence through education and/or work experience in the following skills: Computer: keyboarding, word processing, data entry, spreadsheets, Access, Excel, and other window-based programs; calculator/adding machine operation, filing and record keeping.
  • Practice good customer service and maintain confidentially in an office-centered environment.
  • Excellent organizational skills required.
  • Proven ability to: work independently, efficiently, accurately, and reliably; exhibit appropriate professional standards of personal conduct on the job, communicate effectively and tactfully with a wide variety of people; and handle information in a confidential manner.
  • Establish and maintain effective professional relationships with staff, students, faculty and other HutchCC customers.
  • Physical requirements: exhibit manual dexterity to dial a telephone, to enter data into a computer, and to operate additional office equipment; see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal levels and on the telephone; speak in audible tones so that others may understand clearly in person and on the telephone; use appropriate judgment and to apply tact and courtesy in difficult situations; understand words and respond effectively and appropriately; visual acuity to view a computer terminal; Medium/Indoor and outdoor work environment/ light to medium physical demands capacity.
  • Mental requirements include the ability to learn and comprehend basic instructions about the position.
  • Essential functions and the physical and mental qualifications must be performed with or without reasonable accommodation.

HOURLY WAGE and STATUS:


The hourly rate of pay is commensurate with qualifications as determined by the HutchCC administration. This full-time clerical support staff position is 12 months annual (261 work days), 40 hours per week, benefit eligible, at-will, and non-exempt.
